VOICES - TERMS AND CONDITIONS

Last updated: September 2026

These Terms and Conditions apply to classes, private lessons, workshops and other activities provided by Voices Singing School Limited (“Voices”).

By booking or purchasing a service from Voices, you confirm that you have read and agree to these Terms and Conditions.

1. General

Parents/guardians are responsible for familiarising themselves with these Terms and Conditions before booking.

Our current Terms and Conditions are available on our website. We may update them from time to time where reasonably necessary. Where changes materially affect an existing booking, we will notify affected families.

Nothing in these Terms and Conditions affects your statutory rights.

2. Group Classes & Enrolment

Group classes are booked on a term-by-term basis. The number of sessions and relevant term dates will be confirmed before or at the time of booking.

Term dates will be published on our website and/or communicated directly to parents/guardians. It is the parent/guardian’s responsibility to make themselves aware of these dates.

A place in a class is only confirmed once enrolment has been accepted by Voices and any required payment has been made.

Places are subject to availability. Voices reserves the right to manage class sizes and place students in the class considered most appropriate for their age, experience and development.

Where a class is described as audition-only or invitation-only, progression or continued participation is at the discretion of Voices.

3. Term Fees & Payment

The cost of classes and accepted methods of payment will be provided at the time of booking.

Unless otherwise agreed, full payment for the term must be received by the payment deadline provided by Voices.

Where payment has not been received by the required date, Voices reserves the right to suspend attendance and/or withdraw the student’s place while payment remains outstanding.

Any discounts must be agreed at the time of booking. Discounts cannot normally be applied retrospectively and cannot be combined unless otherwise agreed.

4. Re-enrolment & Notice to Leave

Places in our regular group classes are offered on an ongoing basis from term to term unless a parent/guardian tells us that their child will not be returning.

If a student does not wish to continue for the following term, we require at least 4 weeks’ written notice before the end of the current term.

Notice should be provided directly to Voices Singing School by email.

Where the required notice is not provided, Voices reserves the right to charge an amount equivalent to 4 weeks of the following term’s fees, reflecting the period during which the student’s place has been held and may not reasonably be filled.

We will endeavour to communicate upcoming term dates and payment information in advance. However, responsibility for providing the required notice remains with the parent/guardian.

Providing notice for the following term does not remove responsibility for fees relating to the current term.

5. Withdrawal During a Term

Group classes are booked and paid for on a full-term basis.

Fees relate to the student’s place and tuition for the full term and are not calculated according to individual attendance.

Once a term has commenced, if a student chooses to withdraw, no refund or credit will normally be provided for the remaining classes, subject always to the parent/guardian’s statutory rights.

This includes withdrawal or non-attendance resulting from:

  • school or examination commitments;

  • changes to extracurricular activities;

  • holidays;

  • timetable changes;

  • transport difficulties;

  • changes in personal circumstances; or

  • a student choosing not to continue.

We understand that circumstances can change and ask parents/guardians to contact us as soon as possible if a student is considering leaving.

6. Student Absence

If a student is unable to attend a class, parents/guardians should notify Voices where reasonably possible.

Group classes missed because of illness, holidays, school commitments, examinations or other personal absences cannot normally be refunded, credited, transferred or made up at another session.

A student’s absence does not reduce the fees payable for the term.

7. Private Lessons

Private lessons are booked separately from group classes and may be subject to different payment arrangements.

If a student needs to cancel or rearrange a private lesson, at least 24 hours’ notice must be given directly to Voices.

Where less than 24 hours’ notice is provided, the full lesson fee will normally remain payable.

Where sufficient notice is provided, Voices will make reasonable efforts to rearrange the lesson, subject to teacher and venue availability.

If Voices or the teacher needs to cancel a private lesson, we will endeavour to rearrange it. Where a suitable alternative cannot be provided, an appropriate credit or refund will be offered.

8. Productions & Shows

Full-scale productions, musicals and other significant performance projects organised by Voices are subject to a separate Production Participation Agreement.

This includes productions which require a separate production fee, casting process, extended rehearsal schedule and/or significant financial commitments by Voices.

Before accepting a place in a production, parents/guardians will be provided with the relevant rehearsal and performance dates wherever reasonably possible.

By accepting a place, parents/guardians are confirming that they have checked these dates and disclosed any known clashes.

A student’s place in a production may not be considered confirmed until:

  • their place or role has been formally accepted;

  • the relevant Production Participation Agreement has been accepted; and

  • any required initial payment has been received.

Once a student accepts a place, Voices may begin making financial and practical commitments based on their participation, including licensing, venue hire, staffing, scripts, materials, costumes, T-shirts and other production expenses.

Withdrawal from a production will be dealt with in accordance with the relevant Production Participation Agreement.

Where Voices has already incurred non-recoverable costs specifically relating to a student's participation, these may be taken into account when determining whether any refund is due, subject always to the parent/guardian’s statutory rights.

9. Performances, Concerts & Events

Group classes provide ongoing tuition and development in areas including singing, acting, movement, repertoire and performance skills.

Term fees are for tuition throughout the term and are not payment for participation in any individual performance, concert, showcase or event.

Students may be offered opportunities to participate in concerts, showcases, competitions, workshops, theatre trips, masterclasses and other events.

These opportunities may take place outside normal class times and may incur additional charges. Any additional costs will be communicated separately.

Performance and event dates will be communicated as early as reasonably possible.

Parents/guardians are responsible for checking these dates and informing Voices of any known conflicts.

A student’s inability to attend a particular performance, concert, showcase or event does not normally entitle them to a refund, credit or reduction in their term fees.

Participation, casting, solos, featured roles and other performance opportunities are determined by Voices.

Casting and performance arrangements may be changed where reasonably necessary, including because of attendance, preparation, illness, safeguarding considerations or the needs of the performance.

10. Examinations, Competitions, Trips & Additional Costs

Term fees cover the classes specified at the time of booking.

Additional opportunities may include:

  • examinations;

  • competitions and festivals;

  • theatre trips;

  • workshops and masterclasses;

  • production participation;

  • costumes or specific clothing;

  • photographs and recordings; and

  • performance tickets.

These may incur additional charges.

Any additional charges will be communicated before payment is requested.

Unless explicitly stated otherwise when booking a class, participation in these additional activities is optional.

Once Voices has purchased a ticket, competition entry, examination entry or other non-refundable item on a student’s behalf, we may be unable to provide a refund if the student subsequently withdraws or is unable to attend.

11. Changes to Teachers, Venues & Timetables

Voices may occasionally need to change a teacher, venue, room or timetable because of circumstances including staff illness, venue availability or other operational requirements.

Where reasonably necessary, Voices reserves the right to provide a suitable replacement teacher or alternative venue.

We will make reasonable efforts to minimise disruption and provide as much notice as reasonably possible.

A reasonable change of teacher, room or local venue will not normally constitute cancellation of the class or entitle the student to a refund.

12. Classes Cancelled by Voices

If Voices is unable to provide a scheduled class, we will make reasonable efforts to provide an appropriate alternative.

This may include:

  • a replacement teacher;

  • a rescheduled session;

  • an alternative venue; or

  • a suitable replacement class.

Where Voices cancels a paid session and no reasonable alternative is provided, an appropriate credit or refund will be offered.

13. Drop-Off & Collection

Parents/guardians are responsible for ensuring that students arrive safely and on time at the designated venue and are collected promptly at the end of their session.

Drop-off, collection and waiting arrangements may vary between venues. Parents/guardians and students must follow any instructions provided by Voices or the venue.

Students must not leave a class or venue during a session without permission from a member of staff and, where appropriate, their parent/guardian.

Where a parent/guardian has authorised an older student to arrive or leave independently, responsibility for the student outside their scheduled Voices session remains with the parent/guardian.

14. Health, Medical Information & Illness

Parents/guardians must provide Voices with accurate and up-to-date information regarding any medical conditions, allergies, injuries, additional needs or other information that may affect their child’s safety or participation.

Parents/guardians are responsible for ensuring that emergency contact information is kept up to date.

Students should not attend where they are unwell with an illness that may reasonably pose a risk to other students or staff.

Students must not attend for at least 48 hours following the last episode of vomiting or diarrhoea.

Voices will take reasonable care to provide a safe environment for students.

Nothing in these Terms and Conditions excludes or limits liability where it would be unlawful to do so.

15. Safeguarding

Voices Singing School Limited is committed to safeguarding and promoting the welfare of children and young people.

Students, parents/guardians and staff are expected to follow our Safeguarding and Child Protection Policy and any related procedures or instructions.

Any safeguarding concerns should be raised with the Principal/Designated Safeguarding Lead.

Where Voices considers that action is necessary to protect the welfare or safety of a child, we reserve the right to take appropriate action in accordance with our safeguarding responsibilities.

16. Behaviour

Voices aims to provide a welcoming, supportive and safe environment for all students and staff.

Bullying, harassment, threatening behaviour, discrimination, persistent disruption, inappropriate conduct or behaviour that places another person at risk will not be tolerated.

Students are expected to treat fellow students, teachers, staff, venue staff and visitors with respect.

Where concerns arise, Voices will normally discuss these with the student and/or their parent/guardian and, where appropriate, provide an opportunity for the behaviour to improve.

In cases of serious behaviour, safeguarding concerns or persistent inappropriate conduct, Voices reserves the right to suspend or terminate a student’s participation.

Where enrolment is terminated by Voices, any refund due in relation to future sessions will be considered in accordance with these Terms, the circumstances of the termination and the parent/guardian’s statutory rights.

17. Clothing & Equipment

Students should attend classes wearing clothing and footwear appropriate for the activity.

For certain classes, rehearsals, workshops and performances, students may be asked to wear Voices uniform, rehearsal blacks or other specified clothing.

Students should bring any equipment requested for their session, such as water, sheet music, scripts, notebooks or other materials.

18. Photography & Filming

Photographs and video recordings may be taken during Voices classes, rehearsals, performances and events.

Identifiable photographs or recordings may be used for purposes such as promoting Voices on our website, social media and other marketing materials where an appropriate lawful basis applies.

Parents/guardians will be given an opportunity to communicate their photography and filming preferences and may contact Voices if they wish to update those preferences.

We will take reasonable steps to respect recorded photography and filming preferences.

Separate arrangements may apply to professional photography or recordings of performances and will be communicated where appropriate.

19. Personal Property

Students are responsible for their personal belongings while attending Voices activities.

Voices cannot accept responsibility for loss of or damage to personal property except where such loss or damage results from negligence or another liability which cannot lawfully be excluded.

We recommend that valuable items are not brought to classes unless necessary.

20. Personal Information & Privacy

Parents/guardians are responsible for ensuring that the contact, emergency and other information supplied to Voices is accurate and kept up to date.

Voices may contact parents/guardians using the contact information supplied during enrolment regarding classes, payments, timetable changes, performances and other matters relating to their child’s participation.

Personal information will be handled in accordance with applicable data protection law and our Privacy Policy.

21. Communications

Important information regarding classes, performances, rehearsals, payments and timetable changes may be communicated by email and/or other contact methods supplied during enrolment.

Parents/guardians are responsible for checking communications from Voices and notifying us if their contact details change.

Where a response or action is requested by a specified deadline, parents/guardians are responsible for responding within that timeframe.

22. Complaints & Concerns

If you have a concern or complaint regarding Voices Singing School Limited, please contact us so that we have an opportunity to investigate and resolve the matter.

We encourage parents/guardians to raise concerns as soon as reasonably possible.

Complaints will be handled respectfully and, where appropriate, confidentially.
